Is FreelanceOS suitable for self-employed and sole traders in the UK?
Yes. It's built for UK freelancers who bill clients per job, whether you're a sole trader or run your own limited company.
Can I use FreelanceOS for Making Tax Digital (MTD)?
Yes, for keeping your records and working out your figures. It doesn't send them to HMRC itself, so you export them to HMRC-recognised bridging software or give them to your accountant.
Does FreelanceOS work on mobile?
Yes. It's built for the phone first. Add it to your home screen and it opens like an app.
Is my data safe?
It's kept in the EU, encrypted and walled off from other accounts. Card details go straight to Stripe and never reach our servers.
How much does FreelanceOS cost?
£11.99 a month or £119.99 a year, with a free 14-day trial and no credit card needed.
What happens when a booking changes, or the same email gets forwarded twice?
An email about a job you already have updates that job rather than making a new one. It's matched on the PO number, or the same client with overlapping dates. If the dates move, the job's dates change and a to-do on your dashboard lists what changed so you can check it. Anything you've edited yourself is left as you had it, with the difference noted. A cancellation never changes the job on its own: the email is saved on the job and you decide what to do. If it can't tell which job an email belongs to, it emails you to ask rather than guessing.
Can I tell a pencil from a confirmed booking?
Yes. Every job is potential, pencilled or confirmed. An availability check comes in as potential, a hold as pencilled and a booking as confirmed. The dashboard forecast leads with your confirmed work and lists pencils and potentials separately, as what you'd earn if they come in.
How do part payments and invoice mistakes work?
You can record part payments against an invoice, each on the date it arrived, and the balance and status update as you go. If an invoice needs changing after it's gone out, you can amend it or reissue it as a new version, and the old one is kept and marked as replaced. There aren't separate credit notes yet.
Does editing an event in Google Calendar change the job?
No. The sync goes one way. Jobs go into your Google Calendar and are kept up to date when you change them in FreelanceOS, and your own Google events show in the app so you can spot clashes. Moving or deleting the event in Google doesn't change the job, so make changes on the job itself.
What does profit mean on a job?
What you charged for the job, less the expenses and mileage recorded against it. Running costs like insurance, software or your phone aren't split across jobs. They're in your overall figures in Reports instead.
Can I get all my data out?
Yes. As well as the PDF and CSV exports above, Settings has Export All Data, which downloads every job, client, invoice, expense and mileage record in one file you can keep or take somewhere else.
Is FreelanceOS good for AV technicians and events industry freelancers?
FreelanceOS was built by an AV and events industry professional specifically for the way event work operates: shift-based scheduling, multiple jobs, kit hire costs and quick invoicing after the event. It's used by AV technicians, sound engineers, lighting technicians, video engineers, riggers, camera operators, stage managers, production managers, event coordinators and other events industry freelancers.
Is FreelanceOS suitable for self-employed tradespeople?
Yes. FreelanceOS works well for any sole trader who quotes for jobs, buys materials and invoices clients on completion: electricians, plumbers, builders, roofers, decorators and similar trades. You can log a job, add the labour and materials as line items, capture receipts for anything you bought on site, track your mileage between jobs and generate a professional invoice at the end. Materials costs have their own expense category mapped directly to SA103 Box 17.
Can FreelanceOS replace spreadsheets for tracking jobs and expenses?
Yes. FreelanceOS replaces the combination of spreadsheets, invoice templates and mileage logs that most freelancers piece together. Jobs, expenses, mileage, invoices and client details are all connected in one place, so nothing gets missed and year-end tax prep takes minutes rather than hours.
Does FreelanceOS handle VAT for VAT-registered freelancers?
Yes. Toggle on VAT registration in Settings and FreelanceOS will calculate VAT on invoices, separate net and gross totals, capture VAT on each expense and roll everything up into a VAT-aware quarterly report. The report is ready to feed into HMRC bridging software for the actual MTD VAT return submission.
How does the mileage tracker work?
Record every business journey and FreelanceOS calculates the claimable amount at HMRC's approved mileage rates: 55p per mile for the first 10,000 miles (from 6 April 2026), then 25p thereafter. It keeps a running log by fiscal year that you can export for your self-assessment tax return.
Does FreelanceOS work if I run a limited company?
Yes. Set your business type to limited company and it works the way a company does. Put in your company number and it fills in your registered office, year end and filing dates from Companies House, adds the company line to your invoices and reminds you before your accounts or confirmation statement are due. Reports follow your company year with a Corporation Tax estimate and an accountant pack, and it keeps track of what the company owes you for things you paid for yourself and your mileage. It's included in the normal price.
Does FreelanceOS work with QuickBooks?
Yes, QuickBooks Online. Connect it in Settings, choose which accounts things go to and pair the clients and products you already have, and from then on your invoices, payments, expenses and mileage go across from the date you pick. Payments recorded in QuickBooks come back to FreelanceOS, anything you've changed in QuickBooks is never overwritten, and an expense that's already there is matched rather than added twice. It's included in the normal price, trial too.
Can FreelanceOS keep track of my Schengen 90 days in 180?
Yes. If you work in Europe on a UK passport, switch on Working abroad in Settings and set the country on your jobs abroad. It counts your days in the Schengen area, travel days included, shows how many you've got left and when the next one frees up, and warns you when a booking would take you over 90. If a job moves between countries, like London then Brussels, only the days you're actually there count.
Can I claim the subscription against my tax?
Your subscription is an allowable business expense, so you can claim it against your tax. And yes, you can log it in FreelanceOS.
