Privacy policy

FreelanceOS is run by PageTech Creative Ltd ("we", "us"). We follow the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. This policy explains what data we collect, why, how we use it, and your rights.

1) Who we are

FreelanceOS is a business management tool for freelancers, mainly in the events and AV industry.

2) What data we collect

a) Account information

Your name and email address. If you sign in with Google, we receive these from Google. If you sign in with an email and password, the password is stored as a one-way hash and we can't see it. Your email address identifies your account.

b) Business data you enter

What you choose to put in FreelanceOS to run your business, including:

• Jobs, clients and their contacts, quotes, invoices and line items
• Expenses, receipt images, subscriptions and mileage records
• Job files, photos, notes and to-dos
• Business settings, including your company name, address, bank details and VAT number

This data belongs to you. We process it only to provide the service.

c) Emails you forward to FreelanceOS

If you forward receipts or work emails to your FreelanceOS address, we receive the email, its attachments and any shared files it links to, and use them to add expenses or set up and update jobs. Work emails are only read if you switch this on in Settings. A copy of each work email and its attachments is saved to the job.

d) Emails you send from FreelanceOS

If you email an invoice or quote from the app, we send it on your behalf and keep a record of who it went to and when. Replies from your client are passed on to you.

e) Google Calendar and Google Drive

If you connect Google Calendar, FreelanceOS reads your existing events (to show them alongside your jobs) and creates, updates and deletes the calendar entries for your jobs. If you read a file from Google Drive into a job, FreelanceOS can only open the files you pick in Google's file picker. Both are optional, need your permission, and can be removed at any time.

f) Payment information

Subscriptions are paid through Stripe. We do not see or store your card details.

g) Support messages

What you send us through the in-app help form, including any screenshot you attach.

h) Website analytics

If you accept cookies, Google Analytics records how you use the website, such as pages visited and how you found us. See section 8.

3) Legal basis for processing

• Contract: processing your account and business data is necessary to provide the service you signed up for.
• Consent: Google Calendar, Google Drive and analytics cookies are based on your consent, which you can withdraw at any time.
• Legitimate interests: keeping the service secure, preventing abuse, answering support requests and improving the service.

4) How we use your data

• Create and manage your account
• Store and display the business data you enter
• Read receipts and forwarded emails to fill in expenses and jobs for you
• Send invoices and quotes you choose to email, and pass on replies
• Sync jobs with your Google Calendar, if you connect it
• Process subscription payments through Stripe
• Send account emails, including trial tips you can opt out of
• Keep the service secure and respond to support requests

We do not sell your data. We do not use your data for advertising.

5) Services that process data for us

• Supabase: database, file storage and sign-in. Your data is stored in their EU region (Stockholm, Sweden).
• Vercel: hosts the website and runs our server code, in their EU region (Stockholm, Sweden).
• Anthropic: AI that reads receipts, forwarded emails and their attachments, files you read into a job, and support messages. Anthropic does not use this data to train its models.
• Resend: sends and receives the app's email, including invoices you send and emails you forward in.
• Stripe: subscription payments.
• Google: sign-in, Google Calendar and Google Drive (if you connect them), distances for mileage, and Google Analytics (if you accept cookies).

Some of these providers are based in the United States, so some data is processed there. We don't share your data with anyone else unless the law requires it. More detail is on our security page.

6) How long we keep data

We keep your account and business data while your account is active. If you ask us to delete it, we remove your personal data and business records within 30 days, except where the law requires us to keep them (for example, financial records).

7) Your rights under UK GDPR

• Access: ask for a copy of the data we hold about you.
• Correction: most of your data you can correct yourself in the app.
• Deletion: ask us to delete your account and its data.
• Restriction: ask us to limit how we use your data.
• Portability: Settings > Export all data downloads your jobs, clients, invoices, expenses and mileage as a file.
• Withdraw consent: disconnect Google Calendar or Google Drive, or change your cookie choice, at any time.
• Complain: to the Information Commissioner's Office at ico.org.uk.

8) Cookies and local storage

FreelanceOS keeps your sign-in and some preferences (such as dark mode) in your browser's local storage. This is needed for the service to work and doesn't need consent.

We use Google Analytics cookies (_ga and _ga_*) to see how people find and use the website. They are only set if you choose Accept on the cookie message, and you can change your choice at any time with "Cookie settings" at the bottom of our pages. We don't use advertising cookies.

9) Security

Every connection is encrypted with HTTPS, stored data is encrypted by our database provider, and the database stops any account from seeing another account's data. No system is completely secure, but we take reasonable steps to protect your data. The details are on our security page.

10) Changes to this policy

We may update this policy. We'll change the date at the top when we do, and tell you by email about any significant change.
